The Student Success & Records lifecycle connects matriculation, registration, attendance, records, degree audit, advising, retention, services and graduation on one governed student record, so the signals that predict a withdrawal correlate while someone can still do something about it.
The problem
By the time the results are published, the student has already gone.
Every institution can name its withdrawal rate. Almost none can name the week it became inevitable. The signals were all there: attendance thinned in week three, two submissions were missed, an instalment went unpaid, an advisor sent an email nobody logged. They just never sat on the same record at the same time. Retention becomes an autopsy instead of an intervention, and the student services desk absorbs the consequences one queue at a time.

Week 3, semester 1
Progression and dropout risk
Attendance decline, missed submissions, failed prerequisites, repeated withdrawals and fee arrears are weighted into one ranked signal per student, with the evidence shown beside the score. Week three, not results day.
Advising nudges and next-best action
The advisor opens a caseload sorted by urgency, with a suggested action drawn from what worked for similar students: a tutoring referral, a load reduction, a payment plan. The advisor chooses; the outcome is written back to the record.
Natural-language queries over cohort data
Ask which first-year engineering students are below the attendance threshold and have an unpaid instalment, and get a governed answer scoped to what you are allowed to see, with the query and the result logged.
Completion forecasting
Degree audit plus current registration projects time to award by cohort and programme, so a shortfall in graduation numbers is visible a year out rather than at convocation.

What is student success and records management?

Why is retention usually discovered too late?
Because the signals live apart. Attendance sits in one register, assessment marks in another, arrears with finance and advising notes in email. Nothing correlates them until results are published, and by then the term is over.

What signals does the early-alert system use?
Attendance decline, missed or failed assessments, disengagement, unpaid instalments, repeated withdrawals and unmet degree requirements.

Does AI decide who is at risk?

How does degree audit work across programme versions?
Requirements are versioned by catalogue year and mapped to the curriculum, so a student is always audited against the rules that applied at their intake.
Transfers, credit mobility, substitutions and waivers are recorded as governed exceptions, each with an approver and a reason.
What happens at graduation and clearance?
Clearance is evaluated continuously rather than assembled at the end: outstanding fees, library items, hostel dues, unmet requirements and open service requests are all visible on the record as they arise.
When the last item clears, the transcript and award are generated from the same record, with no re-keying.
How does this connect to the other lifecycles?
The applicant record from Student Recruitment & Enrollment becomes this student record. Assessment & Outcomes supplies attainment, Academic Operations supplies sections and attendance, and Student Financials supplies holds and arrears.
Quality & Accreditation then reads progression, retention and completion as evidence, without a separate data collection exercise.
