Run the register, not the reconstruction.
Registrars need more than a timetable builder. Creatrix Campus gives you one governed view of academic planning, course delivery, attendance and student progression, from the academic calendar to the conferred award, and it will not release a transcript until the record behind it is complete.
The problem
The registrar is the last office to get the data, and the only one that has to be right.
Registrars plan courses in spreadsheets. Faculty availability arrives by email. Section changes are agreed in a corridor and remembered by one person. Attendance is corrected long after the fact. Then results season starts, and the office discovers a course with no grading scheme, an assessment pattern that was never mapped, and a transcript request it cannot safely fulfil.
None of that is a timetable problem. It is a coordination problem, and it arrives at your desk as a deadline: publish the timetable, close attendance, release the results, issue the transcript.

Course planning Spreadsheets, versioned by filenameOnly one person knows which file is current
-
Faculty availability Email threads and remindersPreferences arrive after the timetable is drafted
-
Section changes Agreed verbally, recorded laterThe roster and the room disagree
-
Attendance corrections Whoever asks, whenever they askAttendance you cannot defend in an audit
-
Transcript requests Checked by hand, issued on trustA wrong document leaves the building
-
Graduation audit Honours decided in a side sheetThe class cannot be explained a year later
Six workarounds, one consequence: the record is assembled after the fact, by the office that has to be right.
The registrar's desk
Eight jobs, one record underneath.
These are the things the office of record is actually accountable for. In Creatrix they are not eight systems, they are eight views of the same governed record, so a decision in one is visible in the rest.
Calendar and catalog
Publish the framework the whole term is scheduled against.
4 functions- Academic years, terms, periods and institution-specific terminology
- Holidays, examination periods and academic events
- Publish the approved course catalog and offerings
- Session timings, meeting patterns and timetable templates
Registration and sections
Put students in the right section, and keep the record straight when they move.
4 functions- Review registration demand before it reaches the timetable
- Create sections, set capacity, allocate course lead and tutors
- Move, transfer or drop students between sections
- Cross-listed and cross-programme sections
Timetable and publication
Validate it, route it, publish it, and keep the overrides on the record.
5 functions- Room type, room capacity, faculty availability and clash validation
- Route drafts for approval before publication
- Publish and export with permission-driven access
- Manual override, recorded with audit history
- Unscheduled-section, faculty-wise and room-utilisation reports
Attendance exceptions
The window closes; after that it takes an authorised decision, not a favour.
4 functions- Attendance freeze at the configured time
- Defreeze only on an approval request you review
- Warning thresholds and warning logs
- Programme-wise, student-wise and section-wise reports with Excel export
Results and transcripts
Nothing official is issued from an incomplete record.

- Alerts for missing grading scheme or assessment pattern
- Blocked generation while results are unpublished
- Send a reminder to the course owner from the alert
- Version history on academic policy objects
Graduation audit and conferral
The award, the class and the wording, decided by policy.
5 functions- Programme code to official conferral title mappings
- Honours classification bands on CGPA thresholds
- Latin honours with exact transcript notation
- Bilingual conferral statements for the UAE (Arabic) and Malaysia (Bahasa)
- Holds and restrictions applied before an award is released
Requests and appeals
One desk for everything a student asks the registrar for.
5 functions- Withdrawal, deferment and deferment reactivation
- Change of programme, study mode and location
- Refunds, support documents and letter requests
- Credit overload, time conflict, prerequisite and section-full overrides
- Every request with a type, an assignee, a status and a date
Bulk operations
Cohort-scale changes that leave a job record behind them.
5 functions- Promote a whole term or programme cohort to the next level
- Reactivate deferred students into a target term
- Import or update enrollment records by CSV
- Total records, successes and errors on every run, downloadable
- Section capacity and waitlists reviewed before add-drop closes
The registrar's year
One record, six moments it has to hold.
Each moment produces the records the next one needs. Nothing is rebuilt, and nothing is re-keyed, so the audit at the end is a query rather than a project.

Where your work connects
The registrar sits across five lifecycles, not one.
You consume what governance approves, execute the term, and produce the records quality, finance and leadership depend on.
Your toolkit
The products behind the registrar's desk.
Adopt one as a system of record, or connect them. The record model underneath is the same either way.
Student records, registration, progression, transcripts and verification on one record from enrollment to award.
SchedulingSingle and recurring schedules, validated against rooms, faculty availability, credits and cross-listed clashes.
ExamsEligibility, seating, hall tickets, invigilation, evaluation, tabulation and results, on one exam record.
CatalogVersioned curriculum and the published catalog you schedule and confer against.
EvidenceYour operational records tagged to the criterion they prove, so the audit stops arriving as a request for spreadsheets.
ClearanceFee clearance and financial holds resolved against the same student record you confer from.
Trusted with the academic record by universities across Europe, the Middle East, Southeast Asia and Oceania.
Creatrix provides an excellent platform for timetabling, enabling teaching activities to be planned and coordinated through a clear line of sight to learning outcomes, assessments, professional competency standards and graduate attributes.
It’s convenient to have all academic and administrative activities managed in one system. It helps keep work organized and reduces manual effort.
Frequently asked
Plain answers for the office of record.
Do we have to replace our SIS to use this?
No. Creatrix can be the system of record for the registrar's scope, or it can run alongside an existing SIS.
In the coexistence pattern, candidate, student and result data arrive by integration, and the registrar governs the calendar, catalog, sections, schedules, attendance and transcripts in Creatrix. Institutions that want one record eventually consolidate, but the first term does not require it.
Can the registrar enforce our regulations without custom code?
Yes, this is configuration rather than development. Academic years, terms and periods, grading schemes, promotion and eligibility rules, honours classification bands, Latin honours thresholds, degree title mappings, holds and restrictions are all configured, and the system then applies them consistently.
Because the rules live in the system, a decision is explainable: the record shows which rule applied and who approved the exception.
How do you stop a transcript going out wrong?
Official transcript generation runs behind pre-check validation, and it is blocked while the record is incomplete.
Courses missing a grading scheme, courses with an incomplete assessment pattern, and courses whose results have not been published are raised as alerts with a severity and a course code. The registrar can send a reminder to the course owner from the alert itself, so chasing is part of the workflow rather than a separate email campaign.
Who can change attendance after the window closes?
Nobody, until it is authorised. Attendance freezes at the configured time.
After that, a late entry or correction requires a defreeze request, reviewed by the registrar, dean or authorised administrator. The record reopens only after approval, and the request stays on the record.
Does it handle honours classification and bilingual conferral?
Yes. Degree title mappings link a programme code to its official conferral title, CGPA bands assign the honours class automatically at graduation audit, and Latin honours carry their exact transcript notation, for example “Graduated Summa Cum Laude”.
Bilingual conferral statements are supported for the UAE (Arabic) and Malaysia (Bahasa), so the award document matches what the regulator and the student expect.
What happens to our historical records and past transcripts?
Historical student, result and award data is migrated into the same record model, so past transcripts and verification requests are served from one place instead of an archive nobody maintains.
Version history is retained on academic policy objects, so a transcript issued under an older grading scheme can still be explained years later.
